The rules that apply when you book and attend a course with us — written clearly, with everything in one place.

These Terms & Conditions ("Terms") govern your booking and participation in any phlebotomy training course or service provided by The Phlebotomy Trainer Ltd ("we", "us", "our"). By booking a course you agree to these Terms.

1. About us

The Phlebotomy Trainer Ltd is a company registered in England and Wales.

2. Bookings and payment

Bookings are made by contacting us directly (WhatsApp, email or phone) and are confirmed by invoice. Your booking is confirmed once the invoice is paid in full.

Course fees are listed on each course page on our website and confirmed in your invoice. We reserve the right to update prices for future bookings, but the price you have already been invoiced will not change.

We do not currently offer partial payment plans unless agreed in writing in advance.

3. Hepatitis B vaccination requirement

Proof of Hepatitis B vaccination (or evidence that the course is in progress) is required before you can take part in any live patient session. This is a clinical safety requirement set by the host NHS GP practice and cannot be waived.

4. Your conduct at the practice

When attending training at the host NHS GP practice you agree to:

We reserve the right to remove any student from a session, with no refund, if they breach these rules or behave in a way that puts patients, staff or other students at risk.

5. Cancellation & refunds

We want every student to have the best possible experience with us. The table below sets out the refund position depending on when you cancel.

Please note: This policy supplements your statutory rights as a consumer in the United Kingdom. Where relevant, the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 may give you a 14-day cooling-off period. Contact us if you would like to discuss how this applies to your booking.

How to cancel

To cancel, please contact us as soon as possible by:

The date and time we receive your written cancellation (email or WhatsApp) is what determines which refund tier applies.

Rebooking and rescheduling

If you cannot attend a scheduled session, please let us know more than 72 hours in advance and we will do our best to move you to another available date free of charge, subject to availability.

If you miss a session without notice, or cancel less than 72 hours before, no refund is payable. A session rebooking fee will apply if you wish to attend another session. The amount of the rebooking fee will be confirmed in writing before any further session is booked.

Courses we cancel or reschedule

Occasionally we may need to cancel or reschedule a course for reasons outside our control (for example, illness affecting the trainer, or restrictions imposed by the host NHS GP practice). If this happens we will:

Late arrivals and partial attendance

If you arrive late or miss a portion of a session, the time cannot be made up within the same booking and no partial refund will be given. Please contact us as early as possible if you anticipate being late.

6. Work experience placements (Enhanced Package)

Where your course includes a work experience placement, the placement is up to 1 week, agreed on an individual basis between you and your trainer. Placement type (phlebotomy or administrative role) is allocated according to your assessment results and the availability and needs of the host NHS GP practice.

If you complete the training portion but are unable to attend the placement on the agreed dates, the cancellation rules in section 5 above apply to the placement portion as well.

7. Certification & references

Successful completion of a course leads to a CPD-accredited certificate issued by us. Where your course includes a reference letter, the letter is provided directly by your trainer after the placement is complete.

We reserve the right to withhold a certificate or reference where competency has not been demonstrated, or where conduct has been unsatisfactory.

8. Liability

We carry appropriate professional indemnity and public liability insurance for the training we provide.

Nothing in these Terms limits our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation. Subject to that, our total liability to you for any claim arising out of a booking is limited to the amount you paid for that booking.

We are not liable for any indirect or consequential loss, including loss of earnings, loss of job opportunities, or travel and accommodation costs incurred to attend a course.

9. Intellectual property

All course materials, slides, handouts and content on our website are the intellectual property of The Phlebotomy Trainer Ltd. You may use them for your own learning. They may not be copied, shared, resold or used to deliver training to others without our written consent.

10. Changes to these terms

We may update these Terms from time to time. The version in effect at the date of your booking is the one that applies to that booking. The most recent version is always available on our website.

11. Contact & complaints

If you are unhappy with any aspect of your course or our service, please contact us in writing at info@thephlebotomytrainer.com so we can review your case. We aim to respond to all complaints within 5 working days.

12. Governing law

These Terms are governed by the laws of England and Wales. Any dispute will be subject to the exclusive jurisdiction of the courts of England and Wales.
